Department: Logistics / Import & Export

Reporting To: Import & Export Manager

Job Summary:

The Personal Assistant (PA) to the Import & Export Manager provides comprehensive administrative and operational support to ensure the smooth execution of all import and export activities. The PA will coordinate with suppliers, shipping agents, customs authorities, and internal departments to assist in managing documentation, schedules, and communication efficiently.

Key Responsibilities:

  • Provide daily administrative support to the Import & Export Manager.

  • Prepare, review, and organize all shipping, customs, and export/import documentation (invoices, packing lists, certificates of origin, etc.).

  • Communicate with suppliers, freight forwarders, and logistics partners to follow up on shipment status.

  • Maintain records of all import/export transactions and update shipment tracking systems.

  • Assist in preparing cost analysis, quotations, and supplier comparisons.

  • Coordinate with the accounting department for payments, invoices, and customs clearance fees.

  • Handle scheduling, meeting arrangements, and correspondence on behalf of the manager.

  • Draft and edit letters, emails, and reports related to import/export operations.

  • Ensure compliance with local and international trade regulations and company policies.

  • Support in resolving shipment delays, documentation errors, and customs issues.

  • Maintain confidentiality and professionalism in all communications.

Qualifications & Skills:

  • Bachelor's degree in Business Administration, Logistics, or related field.

  • Minimum 2–4 years of experience in administrative or logistics support roles.

  • Knowledge of import/export documentation and customs procedures is a plus.

  • Strong organizational and multitasking skills.

  • Excellent written and verbal communication in English and Arabic (French is a plus).

  • Proficient in Microsoft Office (Word, Excel, Outlook).

  • Attention to detail and ability to meet deadlines under pressure.

  • Professional attitude and high level of discretion.

Working Hours:

Monday to Friday – 09:00 AM to 06:00 PM (or as per company policy)

Salary Range:
