Receptionist & Customer Service Coordinator

Key Responsibilities:

Receptionist Duties:

  • Greet and welcome visitors in a professional and courteous manner.
  • Answer, screen, and direct incoming phone calls promptly.
  • Manage the reception area, ensuring it is tidy and presentable.
  • Handle incoming and outgoing mail and deliveries.
  • Schedule and coordinate appointments and meetings.
  • Maintain visitor logs and issue visitor badges when required.

Customer Service Duties:

  • Respond to customer inquiries via phone, email, and in-person.
  • Provide accurate information about products, services, and policies.
  • Handle customer complaints and resolve issues efficiently.
  • Maintain customer records and update databases.
  • Support the sales team with order processing and follow-up.

Office Supplies Management:

  • Monitor inventory levels of office supplies and reorder as necessary.
  • Liaise with vendors and suppliers to obtain quotes and place orders.
  • Maintain accurate records of supply expenses and delivery schedules.
  • Organize storage and distribution of supplies to different departments.
  • Identify opportunities to reduce costs and improve supply management efficiency.
Desired Candidate Profile

High school diploma or equivalent; additional education is a plus.

Proven experience as a receptionist, customer service representative, or office supplies coordinator.

Excellent verbal and written communication skills.

Proficiency with Microsoft Office Suite (Word, Excel, Outlook).

Strong organizational and multitasking skills.

Ability to handle confidential information with discretion.

Friendly, approachable, and customer-oriented demeanor.
