- Manage and maintain the Group CEO's calendar, ensuring optimal time management, effective prioritization of engagements, and avoiding scheduling conflicts.
₋ Coordinate and schedule internal and external meetings, events, board sessions, and speaking engagements, across multiple departments, stakeholders, and time zones.
₋ Prepare detailed meeting agendas, briefings, and talking points to ensure the Group CEO is fully informed and prepared. ₋ Record, transcribe, and distribute minutes and action items for key meetings as needed, ensuring follow-up and accountability. ₋ Serve as the gatekeeper for direct access to the Group CEO, balancing responsiveness with protection of the Group CEO's time and focus.
₋ Manage all forms of communication on behalf of the Group CEO (emails, calls, messages), ensuring timely responses and professional representation.
₋ Coordinate complex domestic and international travel arrangements, including flights, accommodations, ground transportation, and visa requirements.
₋ Track and process Group CEO-related expenses, reimbursements, and executive reporting in line with company policy.
₋ Act as a liaison between the Group CEO and internal departments, clients, board members, and external partners, promoting smooth communication and collaboration.
₋ Maintain a high level of discretion and confidentiality while handling sensitive information and high-level decision-making support.
₋ Support strategic initiatives by conducting research, compiling data, preparing presentations, and assisting with follow-up actions.
₋ Assist in planning and executing executive offsites, leadership retreats, and high-level meetings.
Communication Management
₋ Draft, proofread, and edit high-quality correspondence, emails, internal memos, presentations, and reports on behalf of the Group CEO, ensuring clarity, professionalism, and alignment with organizational tone.
Requirements₋ Bachelor's degree in Business Administration, Management, Communications, or a related field.
₋ Master's degree is a plus.
Work Experience
₋ Minimum of 5-6 years of experience in similar executive-level administrative role
₋ Excellent knowledge in Microsoft Office Tools
- Proficiency in English and Arabic languages. (Spanish is a plus)
